Executive/Personal Assistant (Full Time)

Position Description 

The Chestnut School of Herbal Medicine is looking for a responsible, creative, and fun Executive/Personal Assistant to provide personalized and administrative support in a well-organized and timely manner. In addition to school-related tasks, you’ll work in a one-on-one basis on a variety of functions related to Juliet Blankespoor’s (the Director) working and personal life. This full-time position comes with excellent benefits and a highly competitive salary (commensurate with experience). Your work is primarily fulfilled onsite in a family setting (home office), but some work will be from your home. You’ll work intimately with our small team in a highly supportive and collaborative environment. We are a high-touch online company and prioritize student support. To that end, you’ll be directly communicating with students and prospective students, so it’s imperative that you’re an active and transparent communicator with excellent problem-solving skills and a patient and compassionate demeanor.

This position is for someone who thrives in a dynamic setting and enjoys a diverse set of projects and tasks that change daily. You’re ready to roll up your sleeves and do the work necessary to support the Director and the team. If you don’t know how to complete a task, you research the best way to get it done and learn the necessary skills. You are often described as a “go-getter.” You thrive on distilling chaos into ordered systems, and you love prioritizing projects and tasks, creating timelines, checklists, and methods that nurture productivity.

To help ensure all aspects of this position are performed as expected, measurable metrics will be provided along with regularly scheduled performance reviews.

 

Responsibilities

School Administration and Student Support

  • Work with the Student Services Specialist to ensure current/potential students’ inquiries are answered effectively and accurately, disseminating inquiries to other staff members as needed
  • Provide research and fact-checking assistance to Director for writing projects
  • Complete supportive publishing tasks
  • Provide backup technical support to students as needed
  • Manage student payment system and assist students with updating billing information
  • Prepare and mail program/course completion certificates
  • Additional administrative duties as assigned
  • Participate in herb gardening and herb processing as well as medicine making (experience not necessary)
  • Manage electronics and photographs along with associated programs
  • Complete various additional activities to support Director’s productivity
  • Set up and assist with photo shoots, modeling as requested (no experience necessary)
  • Devise and maintain organizational systems, both physical and electronic

 

Customer Happiness Specialist

  • Correspond with prospective students about our programs via email, chat, and social media
  • Assist with enrollment issues
  • Communicate with prospective students on the phone

 

Personal Assistance for Director of School

  • Monitor and pay personal and professional bills, recording all outgoing funds appropriately
  • Complete both personal and business errands
  • Coordinate assistance from local contractors
  • Schedule appointments while maintaining a calendar of existing appointments to prevent conflicts
  • Make travel arrangements
  • Maintain a hygienic working environment by tidying and performing light cleaning duties, coordinating with regular paid cleaning staff to ensure other housework tasks are completed effectively
  • Food preparation for photo shoots and recipe testing or assisting Director with lunch

 

Compensation

  • Dependent on experience; highly competitive

Qualifications and Personal Qualities

  • Bachelor’s degree
  • 3 to 5 years experience in the fields of customer support and administrative assistance
  • Willing to travel occasionally throughout the US for book promotion at conferences and events (this would not begin until 2019 at the earliest)
  • Excellent and clear communication skills — both verbal and written
  • Compassionate and helpful nature
  • Friendly and helpful demeanor for communicating with students, contractors, and colleagues
  • Able and willing to learn new skills; learning how to seek answers, problem solve or seek assistance to get the job done
  • Comfortable working with a team and delegating responsibilities
  • Flexible and able to adapt to unique situations
  • Familiar with Microsoft Office, Dropbox, Project Management Programs, and Google Docs
  • Strong sense of responsibility and ability to prioritize and complete multiple projects with minimal supervision
  • Experience with marketing, SEO, graphic arts, photography, and editing is preferred
  • Able to complete physical tasks such as gardening and moving photography equipment
  • Extremely detail-oriented and highly organized
  • Able to demonstrate discretion and handle highly confidential information
  • Excellent time management skills and ability to multitask and prioritize work
  • Able to pass a background check successfully
  • Valid driver’s license with clean driving record
  • Access to reliable transportation
  • Must be able to work in Asheville as needed
  • Available some evenings and weekends
